16 January 2018 - Discussing with CNR and FORTH data policy aspects including citation credits and disclaimer examples (FAO, CNR, FORTH)¶
Meeting Notes
Topics: Discussing with CNR and FORTH data policy aspects including citation credits and disclaimer examples
Participants:
CNR (Pasquale Pagano, PP)
FORTH (Yannis Marketakis, YM; Nikos Minadakis, NM)
FAO (Anton Ellenbroek AE; Aureliano Gentile, AG)
Summary¶
- PP: we have two main components: 1) Terms of Use for the specific GRSF VRE, and 2) Citation for each specific GRSF record.
- PP: the GRSF VRE Terms of Use do not contradict but extend the iMarine terms of use.
- Database version vs Accessed date. Database version and Date of Updated describe the records uniquely. GRSF being a static repository may not need accessed date.
- Citation will be generated dynamically upon user request. Not on the load of the GRSF record page.
- Accessed date is more for web pages, in case of GRSF with information approved and uniquely identified it may do not need such information. This is content accessed through a webpage. NM: accessed date is needed because it can be altered across time. PP: if a record is archived or deleted in that case the accessed date can be critical.
Detailed comments¶
PP: we have two main components: 1) Terms of Use for the specific GRSF VRE, and 2) Citation for each specific GRSF record.
The GRSF VRE Terms of Use do not contradict but extend the iMarine terms of use. The providers should be advised about the terms.
Citation
P.P. The terms of use should be expanded with guidelines on how the user should construct the citation.
V.K. The citation should be constructed automatically and offered at each page.
A.G. FIRMS provides the citation. GRSF does not need to construct it. A citation per record is provided. In the case of RAM the whole database is referenced. It remains to be confirmed if it is technically feasible that they can expose a citation URL.
Citation attributes
P.P The Version at the moment is always Version 1. This happens because at the moment there is a delete & republish. Later there will be an update.
The UUID should remain the same if a record is republished. If something has been altered then the UUID changes and it becomes a different citation.
Database version vs Accessed date.
N.B. & V.K. Do we need the Access date?
Database version and Date of Updated describe the records uniquely. GRSF being a static repository may not need accessed date.
P.P. In the case the Access date is needed in the citation within GRSF, then it will be made available to the user through a button. It has to be constructed dynamically and if it is offered to the user when the page loads then there will be significant delay.
Access date is needed in the case of web pages. But GRSF is a supervised content management system.
N.M. Could it be needed in the case of deletion?
P.P. if a record is archived or deleted in that case the accessed date can be critical. If the record is deleted and the UUID is not valid anymore? But this is not a frequent case. Archiving is more frequent and in this case the Update date changes.
V.K. The decision whether to show or not the Access date will affect how the citation is presented to the user: Through a button or as an attribute on the page.
We need to verify what are the guidelines in this case and then make the decision.
Publisher attribute
P.P. What is the Publisher attribute in the citation, for GRSF? Should it be D4Science, i-marine?
I-marine and BlueBridge are gateways both operated by D4Science which is owned by CNR.
GRSF is currently available through BB. In the future it will be accessible through i-marine. But there is not an MOU in place. So maybe we should mention D4Science.
Blue Bridge should be added in the Acknowledgements section in the Terms. The Publisher is D4Science.org.
Although D4Science is not a legal entity yet, whereas CNR is, it is proposed to use d4Science.org as a Publisher and mention both CNR and FORTH in the Acknowledgements.
N.B. Should i-marine be mentioned?
A.G. It is present at the URL of GRSF.
P.P. It should not appear in the citation. We have a number of entities that are not yet fully mature. D4Science.org is like Amazon. i-Marine is the supporting entity for the vision. At the moment it is a group of people and institutions that produce material that is presented through D4Science.
A.G. We should not confuse users with too many entities.
A.G The citation should be implemented by the time the GRSF is made available to the public (i.e. released in the “GRSF VRE”).
V.M. The citation of the sources should be part of the KB. The KB needs to be extended.
V.K. Should confirm with Fishsource and RAM about the citation format and what they can provide.
P.P. If we change the Terms of Use during the use of the GRSF, the users will need to re-approve them.
Follow-up actions¶
- FAO (Vivi) to follow-up finalizing citation/credits/disclaimer paragraphs in collaboration with CNR and FORTH.
- FAO (Vivi) to check the legal needs for "Accessed date".
- CNR to implement a first version of the GRSF citation.
- FORTH to make the citations of sources as part of the GRSF knowledge base.
